DSA (DataSelf Analytics) is DataSelf's OEM version of Tableau. These instructions apply to both versions.

Using Desktop to Prepare the Workbook for DSA AD

Create the View/worksheet with Tableau Desktop

  1. Prepare a view in a Tableau worksheet using DataSelf Analytics Desktop or Tableau Desktop.
  2. The view should include all filters that will be used.
  3. As appropriate specify values for the filter(s) in the view itself. For more see Filters Values in the View vs. in a URL Filter.
  4. Copy the worksheet into a separate workbook dedicated solely for use by DSA AD. [You want to be sure that no one changes the workbook after it has been configured for use by DSA AD.)
  5. Give the worksheet a unique name - one that will not be confused with any other worksheet or report.
  6. Add a title that shows the value of the filter or filters that are to controlled by DSA AD. (Recommended)
  7. Add the refresh date ("Data current as of:"). (Recommended)
  8. Add the current date ("Run on: "). (Recommended)
  9. Publish the workbook to DataSelf Analytics Web Server or Tableau Server.

Dashboards vs. Normal Views

Automate a view or a dashboard in DSA AD:

Dashboards:

  • Dashboards offer more control of how to layout information on the screen.
  • Dashboards work great when all information can fit in a fixed windows size (such as with charts). However, dashboards don't dynamically resize themselves. For instance, if you build a dashboard to show 30 lines of a view, but the view has 35 lines of data, the bottom 5 lines won't show up on the PDF file output.

Views:

  • Use views especially when a report has a dynamic number of rows and/or columns.
Configure exported report to show headers: When building a views in Desktop, on the icon menu > set the drop-down to "Normal" > change the width of the view's columns so all header texts are visible on a single line (no hidden characters or two-line headers).

Print Out Formatting

On Desktop menu: use File > Page Setup to select options such as:

  1. Portrait or Landscape
  2. Scaling
  3. Layout margins and centering



Titles That Show the Filters Used

We want the title of the view or worksheet to display the value of the filter used. Tableau Server does not create or maintain titles so we have to use DataSelf (Tableau) Desktop.

For instance, if a report is designed for SalesPerson ID 123 then we might want the title to read:

Monthly Sales Report for SalesPerson 123.
  • NOTE: The corresponding query string for this report might read ?SalesPerson%20ID=123


Configuring a worksheet's Title with DataSelf (Tableau) Desktop

  1. Be sure that the Desktop view is using the dimension and measure fields that you want to include in the query's title.
    For instance, drag and drop System Info > DataRefreshedAsOf to the Tooltip shelf so you can post that refresh date/time to the view's title.
  2. On Desktop menu: Worksheet > Show Title.
  3. Right click on sheet title > Edit Title.
  4. Click Insert drop down and choose the dimension being used for filtering.
  5. Feel free to insert regular description to make the title easy to understand.

Filters Values in the View vs. in a URL Filter

  • Filters have two compoments in DSA. First there is the filter field and second a value. For instance to filter by year the filter field might be a field named "Year" and the value might be "2016".
  • What we are calling DSA filter values are values that are configured within the DSA view. In contrast, in URL filters the value of the filter is configured within the DSA AD commands parameter file.
  • Some kinds of filters are best configured using the filter options built-in to DSA. For instance, Tableau supports relative date periods such as this month/week/day/quarter/year.

Relative Date Filters

  • Relative dates are periods such as this (or last) year, quarter, month, week or day.
To create a filter using a relative date: When creating the filter in DSA Desktop, in the first step, choose Relative Date.

Prepare & Test the URL in Tableau web Server

  1. Open the workbook in DataSelf Analytics Web Server or Tableau Server.
  2. Copy the URL from the browser window to a text editor such as NotePad.
  3. Add the URL-Filter (a.k.a. query string) to the end of the URL. The query string is the the section of the URL that begins with a ?).
  4. Copy and paste the full URL back to the web browser.
  5. Press enter or reload.
  6. Evaluate the view displayed by Tableau Server.
  7. Fix or adjust the URL as required. Rinse and repeat.
  8. When the URL is ready, copy the first part of the URL to the URL column of the .csv file, and the query string that begins with a ? to the URL- Filters column of the .csv file (DSA Commands Parameter File).
